Bulk User Activations and Reminders.

Bulk user activations and reminders is used to schedule activation or reminder for multiple users by group. 

Need to Know 

  • Schedule activation emails for clients who have configured an ongoing HR Feed but are not utilizing SSO. 

Schedule Bulk Activation or Reminder Email 

  1. Navigate to the client's site and select the Users tab. 

  1. Select Bulk User Activations and Reminders.

  1. Schedule: Specify the frequency at which emails should be generated. In this example, the frequency is set to Weekly. 

  1. Occurs On: Choose the specific days when the emails should be sent. 

  1. Start Date: Select the date on which email generation should begin. 

  1. Time: Select the time at which the email should be generated. Note that the email generation time is based on Pacific Time. 

  1. Duration: Specify the length of time for which the emails should be generated. 

  1. Job Description: Enter purpose of Job 

  1. Email report to: Enter recipient of run report. 

  1. Action: Select from Activation or Reminder. 

  1. Group Name: Select a group from list, you can set up schedule for all user groups or everyone. 

  1. Check box to the right of the activation/reminder option(s) to be included in the schedule, Include inactive users (Default, recommended). 

  1. Force user to register on next login: uncheck box if not required for your client. 

  1. Click Continue. 

  1. Click Schedule Now. 

View Activity Logs 

You can view activity logs of the activation and reminder jobs already run.  

  1. Navigate to the client's site and select the Users tab. 

  1. Select Bulk User Activations and Reminders. 

  1. Select Activity Logs 

  1. Choose one of the following from the Action Type dropdown menu: 

  • Activate: Displays a list of activation jobs that have been previously run. After choosing Activate, the list appears with the following column headers: 

  • Description: A description of the job. 

  • Schedule: The scheduling option for the job. 

  • Started: The start date and time of the job. 

  • Completed: The end date and time of the job. 

  • Processed Users: The job’s number of processed users. 

  • Activated Users: A link to download a list of activated users. 

  • Remind: Displays a list of reminder jobs that have been previously run. After choosing Remind, the list appears with the following column headers: 

  • Description: A description of the job. 

  • Schedule: The scheduling option for the job 

  • Started: The start date and time of the job. 

  • Completed: The end date and time of the job. 

  • Processed Users: The job’s number of processed users. 

  • Reminded Users: A link to download a list of users reminded. 

  1. Click the activity name in the Description column to show the job detail. 

  1. Click the Download link to download a file containing the data processed by the job. 

Tip: You can watch a job as it is running by clicking the Refresh button. 

View Schedule Logs 

 You can view current activation or reminder email schedules, which lets you cancel the job and edit the report email address.  

 

  1. Navigate to the client's site and select the Users tab. 

  1. Select Bulk User Activations and Reminders. 

  1. Select Schedule Logs. 

  1. Select one of the following from the Action Type dropdown menu. 

  • Activate: Displays a list of activation jobs currently scheduled. 

  • Remind: Displays a list of reminder jobs currently scheduled. 

Note: Additional schedule sort options are available 

  • Schedule: Narrow search by type of schedule: Daily, Weekly etc. 

  • State: Narrow search down to Active, Canceled or Expired. 

  1. Select Schedule description name to view schedule details. 

  1. Select Edit to change the job description, email address receiving reports or Cancel Job. 

Note: If there is a change in frequency of the report or any other changes other than those noted above you will need to schedule a new job and cancel the current one.
