Steps to Decommission Customer Site
Deactivate User Accounts
To deactivate user accounts, start by pulling a profile extract of all active user accounts and then upload the users to deactivate them.
From your Partner Dashboard, click the Profiles tab.
Select the Extract Profiles link.
On the Extract Profiles page, select the following fields to extract under Filter:
External ID
Account Status
Employee Status
User Name
First Name
Middle Name
Last Name
EmailAt the bottom of the screen click the Submit button. If you need additional information see Profile Extracts.
Change accountStatus and employeeStatus: From A to D (Deactivates accounts)
Note: Before uploading user file for deactivation, ensure that purging profiles when deactivated has been enabled in your profile mapping.
Next, upload file to deactivate users as follows:
From your Partner Dashboard, click the Profiles tab.
Select the Schedule Profile Upload link.
For the Job Description, enter the site ID at the top of the screen.
Under File options, click the Choose File button to select the file previously downloaded and edited per above.
Select check box to the right of Allow upload if deactivation > 10%.
Click Submit.
Check several of the profiles in the site to ensure they are deactivated.
Cancel HR Feed
Take the following steps to cancel HR feeds:
On the Profiles tab, select Profile Upload Schedules.
Select Edit.
Select Cancel Job.
Decommission User Profile Tools
If you are using a third party tool such as ETSI, decommission that tool.
Note: Be sure to deactivate all active users before decommissioning your profile tool.
Depending on how you have the profile sync set up, profiles may deactivate when users are deactivated online, manually or through profile upload.
Decommission the profile mapping. In ETSI you can delete the mapping from your list or add DND or add a string such as Donotuse at the beginning of the mapping name, until you are sure all offline processes have been taken care of.
It is best practice to delete the profile mapping after all offline profiles are decommissioned or no longer connected to the profile mapping.
Disable Web Services
Note: Do not perform this step until all profiles have been set up to purge in the GDS.
From the Rules tab, select Web Services Rules.
Select Edit.
Uncheck both Activate Rule and Enable Web Services using the following configuration and then click Save.
Partner Dashboard/Console User
Delete any Partner Dashboard/Console user account that may have been created for the client whose site is being decommissioned.
From the Partner Dashboard, click the Administrators tab.
Locate the user and then click the Delete link to the far right of the name.
Change Company Name, Site ID, Site URL
Important: You must deactivate all active users and ensure they have been purged from the GDS before changing the Company Name, Site ID, and Site URL.
Changing the Company Name, Site ID, and site URL disables all user access to the site.
Note: If you have a different process for your TMC, skip this this step.
From the Partner Dashboard Home, select the Name link to the far right of the site to disable.
Change all of the following; you may want to add text such as donotuse, DND, or Decomm at the front of each name:
Company Name
Site Id
Domain URLAt the bottom of the screen click the Save button.
Unused Tickets
If you are uploading unused tickets to the site, you must decommission the unused ticket upload for the client.
If you use a third-party program such as Magnatech, inform them they no longer need to pass unused tickets for the site being deactivated, regardless if you are uploading at the superdomain or the single site/domain level. Provide the third party system the original site information including the Company Name and Site ID.
Disable PNR Synchronization Settings
Take the following steps to disable PNR synchronization settings:
From the Partner Dashboard, click the Services tab.
Under Travel, select Travel Agency.
Select the Agency Settings link.
Select the name of the applicable agency settings.
In Agency Configuration Settings, scroll down to PNR Configuration. Click the Remove link next to all listed PNR synchronization settings.
Un-bridge PCC
Important: Perform this step only if the PCC is used for only this customer. Do not unbridge the PCC if it is shared.
Apollo customers should contact Travelport directly to un-bridge.
Disable Groupware
To disable groupware:
From the Partner Dashboard, click the Rules tab.
Under Travel, select Groupware Rules.
Click the Edit link.
Uncheck the Activate Rule checkbox.
Click Save at the bottom of the page.
Remove Preferred Hotel Uploads
Remove the preferred hotel uploads from site, first downloading copies for backup:
From the Partner Dashboard, click the Services tab.
Under Travel, click the Private Rates link.
Select Hotel Private Rate Sets.
Click the link for an active private rate.
Click the Download link next to Download existing rate file (in CSV format) to download and save the file.
Repeat if needed for other private rate sets.
On the Partner Dashboard, click the Rules link.
Click the Service Rules link.
For each group, click the Edit link, change the Hotel Private Rate Set to None, and click Save.
From the Partner Dashboard, click the Services tab.
Under Travel, click the Private Rates link.
Select Hotel Private Rate Sets.
Delete each rate set from the site by clicking the garbage can icon to the right of the set name.
