Accepting or Declining Farmed-In Reservations

You can view all incoming (farmed-in) reservations and the reservation details, and accept or decline the reservations, using an Internet browser to access the Affiliate Connect site.

Note:

  • If you use one of the integrated back-office systems, you can use your back-office system to locate and accept or decline farmed-in reservations. Consult the documentation for your back-office system.
  • For information on how to use Deem Car Fleet Management to find and accept or decline farmed-in reservations, see Using the Reservations Module or Using the Dispatch Module, depending on which module you use for dispatching reservations.

If you don't use an integrated back-office system, you can use an Internet browser to log into Affiliate Connect site and follow these steps:

Viewing Incoming Reservations

  1. To list all incoming reservations, click the Pending Reservation Queue link. 



    Tip: You can also click the numeric link in the "Farmed-In" column for Pending Unconfirmed Reservations within the Transaction Statistics on the home page:



  2. A list of pending reservations from other providers appears.
    Note: If the sending provider changes a reservation, the changed reservation appears in this list as a pending reservation.
    Tip: To sort the list, you can choose Booking Date or Pickup Date in the Sort Type dropdown menu, and then click Get Reservations.



  3. (Optional) You can click the link in the "Res No" column to view details about the reservation. Click the Back button at the bottom to return to the reservation list.



    Note: If the reservation is a change request, the modified information in the reservation appears highlighted in yellow; for example, in the reservation below the phone number was changed:



  4. (Optional) You can click the link in the "Provider" column to view information about the provider.
  5. Accept or decline each reservation as described in the following sections.

Accepting a Reservation

To accept a reservation, follow these steps:

  1. Click Accept for the reservation:

     

  2. The Accept Reservation page appears. Enter your confirmation number in the "Confirmation #" field:

     

  3. Choose the rate type from the Rate Type dropdown menu (either Flat or Hourly).
  4. (Optional) Add any instructions for meeting the driver in the "Meet Instructions" field.
  5. (Optional) Review the reservation information that appears below the Send Response and Cancel buttons:


     
  6. Click the Send Response button when you are ready to accept the reservation, or click Cancel to cancel the operation and return to the list of reservations.

Declining a Reservation

To decline the reservation, follow these steps:

  1. Click Decline for the reservation.



  2. The Decline Reservation page appears. Enter the reason in the Reason field:



  3. (Optional) Review the reservation information that appears below the Send Response and Cancel buttons.
  4. Click the Send Response button when you are ready to decline the reservation, or click Cancel to cancel the operation and return to the list of reservations.
