Viewing Reservation Activity and Affiliate Providers

You can view lists of reservations and reservation and provider details, and search for specific reservations to view its transactions, using an Internet browser to access the Affiliate Connect site.

Note:

  • If you use one of the integrated back-office systems, you can use your back-office system to search for and view reservations and affiliate providers. Consult the documentation for your back-office system.
  • For information on how to use Deem Car Fleet Management to search for and view reservations and affiliate providers, see Using the Reservations Module or Using the Dispatch Module, depending on which module you use for dispatching reservations.

If you don't use an integrated back-office system, you can use an Internet browser to log into Affiliate Connect site and follow these steps:

 

Viewing Incoming Reservations

  1. To list all incoming reservations, click the Pending Reservation Queue link. 
     

    Tip: You can also click the numeric link in the "Farmed-In" column for Pending Unconfirmed Reservations within the Transaction Statistics on the home page:



  2. A list of pending reservations from other providers appears.
    Note: If the sending provider changes a reservation, the changed reservation appears in this list as a pending reservation.
    Tip: To sort the list, you can choose Booking Date or Pickup Date in the Sort Type dropdown menu, and then click Get Reservations.



  3. Click the link in the "Res No" column to view details about the reservation as shown below:



    Note: If the reservation is a change request, the modified information in the reservation appears highlighted in yellow; for example, in the reservation below the phone number was changed:



Viewing Current Reservations

  1. To list all current reservations that have been accepted, click the Current Reservations link. 



    Tip: You can also click the numeric link in the "Farmed-In" column for Upcoming Reservations or Today's Reservations within the Transaction Statistics on the home page.

  2. Choose the date range by clicking the calendar icon and choosing the starting and ending date of the range, as shown below:



  3. Click Get Reservations. A list of current reservations appears.



  4. To view the details of a reservation, click the reservation number link in the "Res No" column. 
  5. Click the link in the "Provider" column to view information about the provider.

Viewing Reservations for Closeout

  1. To view reservations that should be closed, click the Closeout Reservations link. 



  2.  Choose the sending provider in the Booker dropdown menu, or choose All Bookers for all sending providers.



  3. Choose one of the following from the Type dropdown menu:
    • Past reservations which are still open: Choose this option for reservations that are still open (not including current reservations).
    • Completed reservations which need to be closed: Choose this option for reservations that are completed but not closed.
    • Closed reservations: Choose this option for reservations that have already been closed.
  4. Choose the date range by clicking the calendar icon for the From Date and To Date and choosing the dates.
  5. Click Get Reservations. A list of reservations appears.



  6. To view the details of a reservation, click the reservation number link in the "Res No" column. 
  7. Click the link in the "Provider" column to view information about the provider.

Viewing Cancelled or Declined Reservations

  1. To view all declined or cancelled ride reservations, click the Cancelled and Declined link.

     

  2. The list of cancellations and declined reservations appears. The Status column indicates whether the reservation has been declined by the affiliate provider (ResDeclined), or cancelled by the sending provider (ResCancelled).


     
  3. Choose the date range by clicking the calendar icon and choosing the starting and ending date of the range.
  4. You can view a smaller list by specifying a date range, choosing the Booking Date or Pickup Date option in the Sort Type drop-down menu, and then clicking the Get Reservations button.

     

  5. To view the details of a particular declined or cancelled reservation, click the reservation number link in the "Res No" column. 
  6. Click the link in the "Provider" column to view information about the provider.

Searching for a Reservation and Viewing its Transactions

  1. To search for a reservation, click the Reservation Search link.



  2. The Reservation Search screen appears. Choose one of the following:



    • To search by reservation number, enter the reservation number in the "Res ID #" field and choose TranspoNet in the ID Type dropdown menu. You can leave the Member dropdown menu set to Any.
    • To search by confirmation number, enter the confirmation number in the "Res ID #" field, choose Provider in the ID Type dropdown menu, and choose the provider name from the Member dropdown menu.
    • To search by booking number, enter the booking number in the "Res ID #" field, choose Booking in the ID Type dropdown menu, and choose the provider name from the Member dropdown menu.
  3. Click the Submit button to start the search. The reservation summary appears, and transactions for the reservation appear under the summary.

  4. To see the details of a transaction (such as the booked reservation), click the link in the Description column as shown above. The details of the booked reservation appear.

  5. To see all fields of the transaction, click the View All Fields link at the bottom of the screen.

Viewing E-Z Pay Activity

To view the E-Z Pay activity, click the EZPay Activity link:

The activity screen shows E-Z Pay activity for the current month and lists past billing statements. Click the link in the "Invoice No" column to see the details of a specific invoice.

Searching for Affiliate Providers

You can manually farm-out a ride to an affiliate provider by using an Internet browser to access the Affiliate Connect site, looking up the affiliate provider, and communicating directly with that provider.

Note:

  • If you use one of the integrated back-office systems, you can use your back-office system to farm-out rides to affiliate providers. Consult the documentation for your back-office system.
  • For information on how to use Deem Car Fleet Management to farm-out rides to affiliate providers, see Using the Reservations Module or Using the Dispatch Module, depending on which module you use for dispatching reservations.

To choose an affiliate provider in a specific service area for the ride reservation, follow these steps:

  1. Click the TranspoNet Members link.

     
     
  2. The TranspoNet Members screen appears. Choose an area from the Area dropdown menu, to see a list of all members servicing the selected area.

     
     
  3. Click the View Member button to view information about the provider, including contact information.
