Groupware Rules

Groupware rules enable or disable the groupware servers that are applicable to a group. For example, you can select which Microsoft Exchange or Lotus Notes Server to use for updating calendars or for searching users’ address books.

Click the Groupware Rules link under the Rules tab. The Rules | Groupware Rules page appears. Each Group row shows the following in the Rule column:

  • Add link indicates there are currently no groupware rules established for the group.
  • Edit link in green indicates there are groupware rules established for the group and they are active.
  • Edit link in yellow indicates that although there are groupware rules established for the group, the rules are inactive.

Tip: Groups are prioritized to decide which rule will be applied if a user is a member of more than one group. The Priority column appears to the left of each group. The lower the priority number (located at the top of the list), the higher the rule priority this group will have. The rule with the lowest priority will be applied to members of the group. If a user belongs to more than one group, the group with the lowest priority number (the one appearing closest to the top of the list) is chosen to govern the access and options available. To change the priority of a group, enter a number in the Priority column for the group, and click Save Priority Changes.

To add or edit groupware rules, follow these steps:

  1. Click the Add or Edit link in the Rule column for the group (either a named group, or the Everyone group).
  2. Enter or edit the Rule Description that describes the intent of this rule, and click the Activate Rule checkbox to make the rule active.
  3. Scroll down to the “Then” section of the page, and select one of the following options (for a complete description of the groupware options, see Setting Up Groupware Integration):
    • Enable iCal Calendar Attachment: With this option, the user's notification email includes an attached calendar object, which the user can download and save to a calendar. You can select either the MS Outlook Format or Lotus Notes Format.
    • Enable Inline Calendar Update: With this option, the user's notification email includes an Accept button to add the entry to the user's calendar. You can select either the MS Outlook Format or Lotus Notes Format. 
    • Enable groupware access: You can then select the groupware server from the list. If you need to add or edit the server, click the Add/Edit Servers link. For instructions on adding or editing groupware servers, see Groupware Servers.
      1. Enable calendar updates on this server: Click this checkbox to allow the system to update the user's calendar.
      2. Enable address book lookups on this server: Click this checkbox to enable the system to look up the address book on the server.\
  4. Click the Save button to save the settings.

To commit these changes, click the Changes not applied link in the top right corner of the page, and then click the Commit button.
