Using Deem Car Service to Book Transportation

Booking the Reservation

To book a car service reservation, click the Book tab:

 Entering Passenger Information

Follow these steps to enter passenger information:


  1. In the Passenger section, choose one of the following in the Primary Passenger dropdown menu:
    • Myself: Your personal information automatically populates the passenger information fields.
    • Passenger: The information for the passenger automatically populates the passenger information fields.
    • Enter a New Passenger: The Edit Passenger Info screen appears. Enter the passenger information (First Name, Last Name, and so on). An asterisk (*) appears before all required fields. After entering all required fields, click the Save button:

  2. In the Passenger section, choose the total number of passengers in the dropdown menu next to Total Number of Passengers.
  3. Click the Special Requests link in the Passenger section to add information regarding the entire trip. The Special Requests box appears for entering text.

Entering the Pickup Information

You specify the pickup location in the Pickup Location section. You can click the Directions link in the Pickup Location section to specify specific pickup information:


Tip: If you change your mind you can delete the request by clicking the Clear link.

To select your Pickup Location, choose one of the following from the Pickup Location dropdown menu:


  • If an associated travel itinerary is available, hotel and air reservations are preloaded in the dropdown menu and you can simply select them as necessary.
  • Address section: Select a profile addressAfter choosing this option, choose one of the following, and then click the Save button:
    • From Your Profile dropdown menu: Choose your profile.
    • From Passenger's Profile: If you are booking for someone else, choose the passenger's profile.
    • From a Company Loaded Address: This dropdown menu appears for companies that have loaded addresses into the system. Choose the company employee.


  • Address section: Enter a new address: After choosing this option, enter the pickup address. Click the "Save to your profile" or "Save to passenger's profile" checkbox to save the address for future bookings. When finished, click the Save button:


    Tip: You can also save an address for future bookings by clicking the Profile tab, clicking Add to Profile, and editing the Street Addresses section.
     
  • Airport section: Select a profile airport: After choosing this option, select the profile in order to specify the profile airport.
  • Airport section: Enter a new airport: After choosing this option, enter the airport code for an airport.

Entering Additional Stops and Drop-Off Information

You use the Additional Stops and Drop-Off Location sections to enter additional stops and specific drop-off information. You can add up to two additional stops:

To select your drop-off location, choose one of the following from the Drop-off Location dropdown menu:

  • If an associated travel itinerary is available, hotel and air reservations are preloaded in the dropdown menu and you can simply select them as necessary.

  • Address section: Select a profile address: After choosing this option, choose one of the following, and then click the Save button:
    • From Your Profile dropdown menu: Choose your profile.
    • From Passenger's Profile: If you are booking for someone else, choose the passenger's profile.
    • From a Company Loaded Address: This dropdown menu appears for companies that have loaded addresses into the system. Choose the company employee.
  • Address section: Enter a new address: After choosing this option, enter the drop-off address. When finished, click the Save button.
  • Airport section: Select a profile airport: After choosing this option, select the profile in order to specify the profile airport.
  • Airport section: Enter a new airport: After choosing this option, enter the airport code for an airport.
  • As directed by passenger section: Choose Wait and Return, to be directed by the passenger.

Specifying the Pickup Time

You have several choices for specifying the pickup time.

If the drop-off location is an airport, the system can automatically calculate the pickup time. Choose Let system calculate pickup time from the Pickup Date/Time dropdown menu, and choose the time to arrive prior to flight departure in the "Arrive at airport" dropdown menu:

If the pickup location is an airport, the system can use the arrival flight's date and time as the pickup time. Choose Use arrival flight date/time from the Pickup Date/Time dropdown menu:

You can also manually enter the date and time for the pickup location. Choose Enter a date and time from the Pickup Date/Time dropdown menu, click the calendar icon and a date (or enter the date), and select the time using the Time dropdown menus:

Click Continue to continue to the vehicles and service providers (merchants).

Specifying the Vehicle Class and Service Provider

After clicking Continue, a list of service providers for a specific vehicle class appears. Rates are displayed low to high. Less precise rates such as hourly rates, or the rate upon confirmation, appear after flat rates.

Choose the class of vehicle (such as Sedan) from the Vehicle Class dropdown menu. The service providers change to reflect the newly chosen vehicle class. Click the radio button for the row that matches your need for Service Provider, Rate, Vehicle Type, and Direct Billing:

Click Continue to continue to the Billing Info section.

Entering Accounting, Billing, and Confirmation Information

After clicking Continue, the Accounting Information section appears, followed by the Billing Information and Confirmation Email Addresses sections:

Up to four accounting fields may appear in the Accounting Information section, and the fields can be set as mandatory or optional by your administrator. For example, you may have a Cost Center box to enter the Cost Center code, or a dropdown menu for corporate policies and a box for entering the reason for the trip.

You can also add additional email addresses to receive the confirmation of the reservation. Click the Edit link in the Confirmation Email Addresses section (under the primary email address) to add more email addresses, and then click Save to save them:

Submitting the Reservation

After entering the accounting, billing, and confirmation information, click the Book Reservation button:


The Submit Reservation appears, confirming that the reservation was submitted successfully. You can click the View Status link to see the status of the reservation. You can also click the Book Round-Trip button to book a round-trip reservation.

To view the confirmation of the reservation, click the My Rides tab to see all active reservations, and then click the view details link:

Modifying the Reservation

To modify a reservation, click the My Rides tab to see all active reservations. You can then click the make changes link for a reservation to modify it.

Tip: You can also change the booker or passenger in the Booker/Passenger dropdown menu, and view the rides by clicking the View Rides button.

After clicking the make changes link, the Change Reservation screen appears. Make your changes as described in the previous section, and then click the Continue button at the bottom right corner. The service providers appear, and you can leave the reservation with the provider you initially selected or choose another vehicle class and service provider. 

Note: When selecting another provider, all accounting rules for that provider will be in effect.

Click Continue to continue to the Accounting and Billing Information sections, and change the information as needed. Click the Rebook Reservation button to process the change. 

Canceling the Reservation

To cancel a reservation, first click the My Rides tab to see all active reservations. You can then click the cancel ride link for a reservation to cancel it.

Review the Confirm Cancellation page that appears, to make sure you have the correct reservation:

Click the Cancel Reservation button at the bottom right corner of the page. An email will be sent to you when the provider confirms the cancellation.

Warning: The reservation is not cancelled until the service provider returns a cancellation number.
