Setting Up Affiliates and Subcontractors

The Affiliates/Subcontractors table lets you set up individual affiliates or companies that your company will farm-out services to. 

Note: If the affiliate is a member of Deem Affiliate Connect (TranspoNet), you can set the Network ID to establish connectivity.

Creating an Affiliate Category

You may need to create a new category for affiliates. Follow these steps:

  1. Open the Driver Category table (see Navigating Table Maintenance for details on opening tables and using action icons).
  2. Click the New Record icon to create a new record. 



  3. In the Add Driver Category Definition window that appears, enter a category code for affiliates, such as AFFILIATE or AFFIL
    Note: If you manage local affiliates and out of town affiliates separately, create two categories.
  4. After setting up the appropriate settings for the new category, click Save & Close.

 

Adding or Editing an Affiliate or Subcontractor

Follow these steps to add or edit an affiliate or subcontractor:

  1. Open the Affiliates/Subcontractors table (see Navigating Table Maintenance for details on opening tables and using action icons).
  2. Click the New Record icon to create a new record, or select an affiliate or subcontractor and click the Edit Record icon to edit it.



  3. In the Affiliate Code field, enter your code for the affiliate or subcontractor. You can enter up to 10 characters. This should be an abbreviated format of the affiliate name. For large affiliate networks, we recommend using the state abbreviation as a prefix to the affiliate code (such as NJ-AFF01 and NJ-AFF02).
  4. In the Affiliate Name field, enter the name of the affiliate or subcontractor.
  5. Choose the Farm-In Acct. code from the dropdown menu, if applicable.
  6. Choose the affiliate category set up in the previous section from the Affiliate Type dropdown menu.
  7. Choose selections from the Network Type and Driver Category dropdown menus. (See Setting Up Driver Categories and Drivers for driver categories.)
  8. Choose a connectivity method (such as TranspoNet for Affiliate Connect) from the Connectivity Method dropdown menu.
  9. Enter the Deem Affiliate Connect (a.k.a. TranspoNet) member ID in the Network ID field.

  10. Enter the contact information such as phone numbers, addresses and alternative contact details.
  11. Click Save & Close to save the record if you made changes, or Close to close the record.

Entering Accounting Information

Click the Accounting / Dispatch tab to set accounting and dispatch options including the commission rate, reservation behavior, and pay methods:

You can accept the default settings, or make changes. Note the following when making changes:

  • Choose a payment method from the Affiliate Payment Method dropdown menu, such as Commission or Commission Flat/Hourly, and choose a percent from the Affiliate Percent dropdown menu. 
    Note: To farm out rides using Affiliate Connect, choose Commission for the payment method and 100 (for 100%) for the Affiliate Percent. This sets up your system to automatically calculate your affiliate’s pay in the Ride Closeout module as the amount they are returning back to you when they price and close out the job.
  • Enter the payment method for "Payment Method on Farmout", such as CC for credit card or BILL for billing. This is the method that the affiliate will pay your organization.
  • If you don't want to send your client’s caller information to an affiliate, choose Custom in the "Caller Info on Farm-Out" dropdown menu, and enter the caller name and caller phone number as your company name and phone number.
  • Click Save & Close to save the record if you made changes, or Close to close the record.

Entering Notes 

Click the Notes tab to add additional affiliate or subcontractor information, and to see the when the record was created and last updated. To enter character returns in the typing area, press CTRL+ENTER on your keyboard.
