Generating the Rate File

The first step to importing your rates into the Deem Car Service is to create the rate file from a template.

1.  Choosing the Template Type

Determine which template type you will use: Rate Matrix or Point to Point.  

  • Rate Matrix: This template provides "From" locations in the first column, and lets you add prices for up to two "To" location columns. The generated data file is for a single vehicle type, which you set during the Upload process.
  • Point to Point: This template provides "From" locations in the first column, and lets you add a price for a single "To" location column for each selected vehicle type.  After clicking a vehicle type in the Vehicle type list, you can add two more vehicle types (for a total of three) by holding down CTRL and clicking the vehicle type in the list on a Windows PC (or holding down Command and clicking on a Mac).  You can select a maximum of (3) Vehicle Types per template.

2.  Choosing an Area for Your Rates 

Choose the area of coverage for your rate file template:

  • Zip and City: Shows one row for the City followed by rows for every ZIP Code contained in the city. If you need to enter rates by ZIP code for all or part of your coverage area, select this option.
  • City: Shows rows only for the city name without ZIP Codes. If you need to enter rates by city for the entire area, select this option.
  • Country: Select United States (the default), or Canada for choosing your area.

3.  Defining "From" Locations

Define the "From" locations in the template file. You can choose by radius, city, county, or state.

  • By Radius: You can set a distance of up to 100 miles around a specific city or airport to define your area for "From" locations.
  • By City: Select a specific city as a basis for defining the "From" locations. Choose this option for cities containing many ZIP codes if your pricing is based on ZIP code.
    Note: If you choose City for Location By in step 2, the template shows only one row. Choose Zip and City to show multiple rows with ZIP codes for the city.
  • By County: Select the State and specify which county to use as a basis for defining the "From" locations.
  • By State: Select the entire state to define your "From" locations.

 

4.  Adding "To" Locations

Add the "To" locations for the pricing table by clicking Add:

 

 

One or more "To" locations are required.

  • For a rate matrix template, you can enter up to five "To" locations. 
  • For a point-to-point template, you can only select one "To" location.

Click Delete next to a location if you need to remove it before generating the rate template file. 

To add a location, start typing and a list of suggestions appears. Select a location from the list.  Some locations may overlap, so it is important to be careful when adding "To" locations.

 

5.  Creating the Template

Choose the file format to create your rate template

  • Select Excel or CSV (comma-separated value) as the file format for the template.
  • Verify all of the above options, and then generate the rate template file by clicking Create Template.

 

The system will confirm that the template was created and that it is ready for download.  Make sure to save this file in (.xlsx) format, for Excel 2007 or higher.

 

  • Click Download Template to download the file.
